Tuition Remission for Graduate Assistants:Graduate Assistants (GAs) appointed on a sponsored program as of September 1 (for the Fall semester) and February 1 (for the Spring semester) are entitled to tuition remission. GAs appointed after those dates are not eligible for that term’s tuition remission. The tuition remission costs must be apportioned between awards on the same basis as their effort/salary charges as of those dates. Tuition Remission is automatically charged to a sponsored program in August (for the Fall semester) and January (for the Spring semester) based upon their appointments at that time. If GA effort/salary percentages are revised that are effective September 1 or February 1 after the automatic allocation of remission costs, a manual cost transfer of tuition remission must be initiated by the PI or his/her designee. The PI or his/her designee is responsible for reconciling the tuition remission costs charged to their sponsored programs to ensure compliance with the above. Note: If a funding agency specifically disallows tuition costs on an award per their written guidelines (i.e. March of Dimes), the PI or his/her designee is responsible for transferring these costs to a non-sponsored award. To initiate a cost transfer of tuition remission charges, the first worksheet of the Tuition Remission Transfer Form (TRTF) needs to be completed as soon as the salary reallocation for the GA is reflected on the University’s General Ledger. The completed form is to be emailed to dgca1@rci.rutgers.edu. Upon receipt of a completed of a TRTF, all adjustments will be prepared by the DGCA. For current fiscal year changes, adjustments will be reflected as a “SRAA” entry on the General Ledger since these changes must be processed through the University’s Student Accounting System. For prior fiscal year changes, the adjustments will be reflected as a journal on the General Ledger.
