Closeout Procedure:

At project termination the DGCA accountant needs detailed information including cost sharing from the project director or designee to close our records and submit required reports to the sponsor. The individual charged with this responsibility should contact the DGCA accountant prior to project termination. Most funding agencies require financial reports within 90 days of termination. State agencies and other universities typically require reports in 30 or 60 days. It may take significant time to reconcile transactions and effect changes, so we need your help.

Once a department has finalized the costs on an award that has ended and confirmed the final expenditure amount with DGCA, no additional costs can be charged. Unforeseen costs are the responsibility of the department.
